Create enough structure that everyone moves confidently. Especially when the plan changes.
Situation: During a client's annual volleyball tournament, a sudden haze storm created air-quality concerns and the risk that attendees would choose not to participate—potentially resulting in cancellations and refunds.
Action: We quickly adapted the event experience by setting up air-conditioned indoor safe zones with water, comfortable lounges and games for entertainment. We clearly communicated these alternatives to attendees and remained available throughout the event to answer questions, address concerns and support individual choices.
Outcome: Every participating company ultimately had at least one representative on site, significantly mitigating the risk of refunds while allowing those who felt comfortable to continue with the tournament. The event remained successful, flexible and attendee-focused despite the unexpected disruption.
